Service Delivery Policy
This Service Delivery Policy describes how Trionyx Collective delivers its digital strategy and creative advisory services: how engagements start, how work is produced and handed over, what timelines to expect, and how we communicate along the way. Our services are delivered digitally; we do not ship physical goods.
1. Nature of Delivery
Trionyx Collective delivers professional services and digital work products such as strategy documents, roadmaps, wireframes, recommendations, editorial plans, and written copy. Delivery is electronic. There are no physical products, no shipping, and no couriers involved. "Delivery" means providing the agreed deliverables through the digital channels we establish with you, such as shared documents, files, or a project workspace.
2. Getting Started
An engagement begins after we agree on scope, fees, and timing in a written proposal or statement of work and any required deposit is received. We then schedule a kickoff, request the inputs we need from you, and confirm the delivery milestones. Clear, early alignment is the best predictor of a smooth engagement, so we invest real time here before producing work.
3. Timelines and Milestones
Each engagement has a delivery schedule set out in its proposal. Timelines are estimates made in good faith based on the agreed scope and on your timely provision of information, feedback, and approvals. Typical advisory milestones move from discovery, to strategy and structure, to drafting and refinement, to final handover. Because our work is collaborative, delivery dates depend in part on your responsiveness, and we will flag promptly if a dependency is at risk of moving a date.
4. Communication and Progress
We keep you informed through the channels agreed at kickoff, which may include scheduled check-ins, written updates, and a shared space for drafts and documents. You will always know what stage your engagement is in and what is needed next. We aim to acknowledge messages during our normal business hours and to respond substantively within a reasonable time.
5. Review, Feedback, and Revisions
Deliverables are shared for your review at the points defined in the proposal. Each engagement includes a specified number of revision rounds so that the work lands where it needs to. Consolidated, timely feedback helps us deliver efficiently. Requests that go beyond the agreed scope are handled as change requests and may affect timing and cost, which we will confirm in writing before proceeding.
6. Acceptance and Handover
Final deliverables are considered accepted when you approve them or when they are put into use, or after a reasonable review period passes without substantive feedback, as described in the proposal. On acceptance and full payment, we hand over the final materials and any agreed source files, and we provide reasonable guidance so your team can act on the work.
7. Delays and Dependencies
Some factors are outside our control, including delays in receiving inputs, changes in scope, third-party platform issues, or events beyond either party's reasonable control. Where such factors affect delivery, we will communicate promptly, propose a revised plan, and work with you to keep the engagement on track. Timelines paused by a dependency resume once the dependency is cleared.
8. Confidentiality of Delivered Work
Deliverables prepared for you are provided for your business use as described in your agreement. We handle your materials and our work product with appropriate confidentiality, and we ask that you respect the confidentiality of any of our proprietary frameworks or templates shared with you during delivery.
9. Support After Delivery
Unless a separate retainer or support arrangement is agreed, our responsibility concludes on acceptance and handover of the deliverables. We are glad to discuss ongoing support, additional phases, or advisory retainers, which are scoped and priced separately.
10. Changes to This Policy
We may update this Service Delivery Policy from time to time. The "Last updated" date above reflects the current version, and the version in effect at the start of your engagement governs that engagement unless we agree otherwise.
